How to copy Authorizations using Quick Copy.

If your company has multiple databases for Business One and you wish to copy Authorizations of a user from one database to another then follow the steps below. 

 

Once logged into SAP Business One, on the left module list click on Administration > System Initialization > Implementation Center > Implementation Tasks.

When you click on Implementation Tasks a new window will come up, then in the new window click on the Data Management Tab.

Now click on the option Copy Data Between Companies.

Once you click on Copy Data Between Companies, the window will change and we will need to choose the option to copy to a file, and then clicking on the three dots button (More Options) you will want to choose the path of where to store the file.

Once you have chosen a path for your file, you will need to name the file that will be created once you export it, then click Save.

Next below the save to file option, there are other options that you can choose, I suggest reading them carefully and choosing what will work for you. Once done choosing your options click on the OK button at the bottom. Some options will be grayed out because they do not apply to the export option and will apply to the Import option.

Once you have clicked OK this will open up the selections on the left side of this same window, here you will click on the arrow next to Administration > Setup > General and click on Users.

This will show the list of users in your database on the right side of the window, find the user you wish to copy the Authorizations from in the list, and scroll all the way to the right until you see the column named "Copy Authorizations" then put a check in the box under this column next to the user you have chosen.

Scroll all the way to the bottom and click on the Export button, this will pop up another window showing that there may be Data Dependencies that you should choose if you wish to copy over as well.

If you are not familiar with these we suggest selecting all of them as you could get errors. 

 

Once you click the Continue button it will export the file. 

 

Now that the export is complete we need to now import the authorizations into the other company. 

First Log in to the company you wish the authorizations to be imported into.

Again we will need to go through the same steps as before.

1 - On the left module list click on Administration > System Initialization > Implementation Center > Implementation Tasks.

2 - When you click on Implementation Tasks a new window will come up, then in the new window click on the Data Management Tab.

3 - Now click on the option Copy Data Between Companies.

4 - Once you click on Copy Data Between Companies, the window will change This time we will need to choose the option to copy from file, and then clicking on the three dots button (More Options) you will want to choose the path of where the file was exported to then click on the exported file and click Open. 

Under "Copy Method", "Error handling" and "Copy Options" choose the options that best apply to your situation.

Once you have completed selecting the options you would like then click OK button. 

The next window will allow you to review the selections that you have chosen to copy into this company, you can click on the arrows to expand them to see more details.

When you are ready then click on the Import Button. 

Import is complete and you have successfully imported a copy of Authorizations from one company to another.
